INTERNAL OPERATIONS · WORKFLOW AUTOMATION
Process automation for the work that eats your week
While AI assistants look after your customers, process automation works inwards: email that sorts itself, calendars without double bookings, holiday requests without spreadsheets. We build the workflow automation in — and keep running it.
What we automate
Four areas where mid-sized companies lose the most time.
Email infrastructure & AI handling
We build a clean email environment and put AI in front of it: incoming mail is categorised, replies drafted and routed to the right person — without extra headcount.
Calendars & scheduling
Shared calendars for the whole team, automated meeting scheduling, no double bookings — connected to your customer-facing appointment booking.
Internal communication
Structured team channels instead of scattered private WhatsApp groups. Information stays findable, even when someone leaves.
HR & absence management
Holiday requests, absences and HR workflows handled digitally instead of by shouting across the office. Less admin for leadership, full transparency for the team.
Why automation usually stalls in mid-sized companies
The tools exist but aren't connected
Calendar, inbox, spreadsheets and chat sit side by side. The work happens in between — copying things across by hand.
Knowledge lives in individual heads
When someone is away, nobody knows where things stand or how a process actually works.
DIY automations fall apart
An internally built automation runs until an interface changes. After that, nobody has time to repair it.
Nobody owns it
Automation is project work without a clear owner — it stalls the moment day-to-day business gets busy.
How we work
We don't automate everything that could be automated — only what measurably costs time.
- 1
Map the processes
We look at what your team does manually every day, and where handovers, waiting time and duplicated work occur.
- 2
Prioritise by time saved
The highest-effort, lowest-risk processes first. No big-bang project.
- 3
Set up and connect
Email, calendars, CRM and communication channels are connected so information flows without retyping.
- 4
Hand over and maintain
We train your team and stay responsible when something changes. Built, not bought — and not left alone afterwards.
Worth knowing
- We replace manual steps, not people — the goal is less admin, not a smaller team.
- Existing systems are connected wherever possible; a full tooling change is rarely necessary.
- GDPR: data processing agreement, EU hosting of the platform, external data protection officer.
- Automations stay traceable: you can see what happened and when.
„Our internal processes were completely disorganised. Today everything is digitised — from patient communication to internal time tracking and holiday planning. It has noticeably taken the pressure off our team.“
Frequently asked questions about process automation
What's the difference between process and workflow automation?
In practice both terms mean the same thing: recurring steps run automatically instead of by hand. 'Workflow' tends to describe the individual sequence, 'process' the bigger picture.
Do we have to replace our existing software?
Usually not. We connect what works and only replace systems that genuinely stand in the way of automation.
How long does a project like this take?
We start with one clearly scoped process that shows results quickly, then expand. A timeline follows once we've mapped your processes.
What happens if an automation fails?
Errors are reported rather than silently swallowed, and we stay responsible. That's the difference from a self-built solution nobody maintains.
Will employees lose their jobs to this?
What gets automated is the work nobody enjoys anyway: copying, chasing, sorting. The time goes back into the work people were actually hired for.
Does this make sense for smaller companies?
Especially there, because individuals carry many roles. Even one automated process per week makes a noticeable difference.
